Important Draft Notice

This page is a structured business draft based on Travelatino’s current operating decisions. It must be reviewed and finalized by an appropriate Canadian legal or compliance professional before public launch.

1. Business and Scope of Services

These terms apply to Travelatino’s trip design, coordination, booking, payment, communication, and support services. Before launch, insert the final legal business name, operating name, Langford business address, contact details, and Consumer Protection BC licence number.

Travelatino specializes in personalized land journeys to Colombia. Air travel may be coordinated through an authorized Canadian host agency, consolidator, or air partner, with the traveler paying that provider directly unless otherwise stated in writing.

2. Planning Request and Design Fee

Submitting a planning request or attending an initial consultation does not create a booking.

When a traveler chooses to begin detailed personalized planning, a CAD $199 design fee applies. The fee is credited toward the trip when the traveler completes the booking with Travelatino. If the traveler does not book, the design fee is non-refundable because it compensates Travelatino for research, itinerary design, supplier coordination, and proposal preparation.

3. Proposals, Prices, and Availability

Proposals are based on the information provided by the traveler and remain subject to availability, supplier confirmation, exchange-rate movements, taxes, fees, and stated expiry dates.

Travelatino will clearly identify mandatory charges in the proposal or checkout process. Prices are not final until the required payment is received and the relevant suppliers confirm the services.

4. Deposits and Final Payment

The standard booking deposit is 30% of the confirmed land package unless the proposal states otherwise. The remaining balance is generally due 30 days before departure.

Some suppliers or travel dates may require larger deposits, earlier final payment, or fully non-refundable payment. Any different schedule will be disclosed before the traveler accepts the proposal.

5. Traveler Information and Responsibilities

Travelers are responsible for providing accurate names, dates of birth, contact information, passport details when securely requested, dietary or accessibility needs, and any information necessary to arrange the journey.

Travelers are responsible for valid passports, visas, entry requirements, vaccinations or health requirements, travel advisories, insurance decisions, and compliance with the laws and rules of each destination and supplier.

6. Flights, Insurance, and Third-Party Services

When flights are issued by a separate authorized Canadian provider, that provider’s own terms, fare rules, payment process, and change or cancellation conditions apply.

Travel insurance is strongly recommended. Insurance products, where offered, will be provided by an appropriately authorized provider and governed by that provider’s policy wording and eligibility requirements.

Hotels, transportation companies, guides, attractions, local operators, payment processors, and technology providers are independent third parties. Their services are also subject to their own terms and operational decisions.

7. Changes, Cancellations, and Refunds

Traveler-requested changes and cancellations are handled under the separate Cancellation Policy, the final proposal, the booking confirmation, and applicable supplier terms.

Refunds are not guaranteed merely because a traveler chooses not to use a confirmed service. Any refund depends on applicable law, supplier rules, timing, amounts actually recovered, and any disclosed Travelatino charges.

8. Events Beyond Reasonable Control

Travel may be affected by weather, natural events, government actions, border restrictions, strikes, supplier failure, safety concerns, health events, transportation disruption, or other circumstances beyond Travelatino’s reasonable control.

When practical, Travelatino will assist with alternatives or supplier communications, but additional costs and unrecoverable supplier charges may remain the traveler’s responsibility unless applicable law or a supplier agreement provides otherwise.

9. Conduct, Safety, and Service Refusal

Travelatino may decline or discontinue service where a traveler provides false information, fails to make required payments, behaves abusively, requests unlawful activity, creates a material safety risk, or breaches these terms or supplier rules.

10. Complaints and Governing Law

Travelers should raise concerns promptly so Travelatino has a reasonable opportunity to assist. Formal complaints should be submitted in writing to [official business email].

These terms are governed by the laws applicable in British Columbia and Canada, subject to any mandatory consumer rights that cannot legally be excluded.

11. Acceptance and Version Control

Travelers will be required to accept the booking terms before payment. Travelatino will record the version and date of the terms associated with the transaction and provide a copy with the confirmation.
